Work schedule maker

A weekly grid with one row per person and one column per weekday. Type a shift start and end in each cell, or mark it off, and the hours add up for you.

Fill in a weekly rota and see the hours add up

Add a row for every employee and fill each weekday cell with a shift start and end, or leave it as off. The shift names Open, Mid and Close are ready to use and you can rename or retime them to fit your business. A cafe might open at 7:00 AM, while a clinic front desk might run 8:30 to 5:00.

The tool totals hours for each person across the week, and for each day across the whole team. The row totals tell you who is down for the most time. The column totals show how many hours of cover each day has, which is the quickest way to spot a thin Tuesday or an overstaffed Friday.

Wording differs by country. In the UK and Australia you will hear rota or roster, while in the US the same thing is usually a work schedule. This page covers all three, and the grid works the same whatever you call it.

Export the week as a CSV for a spreadsheet, or as an .ics file so people can add their shifts to a calendar. Print gives a clean layout for the staff room wall, and the share link carries the whole grid in the address. This is a planning grid, not a payroll tool. It adds hours and applies no overtime or pay rules.

Questions about this tool

What is the difference between a rota and a roster?

Nothing in this tool. Both mean a list of who works when. Rota is common in the UK and roster in Australia, while US workplaces tend to say work schedule.

Can I change the Open, Mid and Close shifts?

Yes. The names and times are presets you can edit, so you can swap Mid for Lunch or move Close earlier.

Does it calculate overtime or pay?

No. It adds up hours worked per person and per day and nothing else. For pay, use your payroll process.

How do I send the schedule to my team?

Copy the share link, print the page, or export CSV or .ics. The .ics file lets people see their shifts in a calendar app.

Does it store my staff list online?

No. It runs in your browser and the grid is only kept in the link you copy. That link contains the names you typed, so share it only with people who should see them.
